How we collect your information.

We collect information when you appoint us to undertake Planning or Architectural projects for you, or if you are involved with the same projects as us.  This information will relate to the information necessary to provide information planning advice, submit planning applications and appeals, deal with planning enforcement matters and other typical aspects of our administration and project co-ordination activities.


We may collect your personal data in a few limited ways including but not limited to:

Directly from you during discussions including meetings and telephone conversations

When you make enquiries via the ‘Contact’ section on our website.

When you email us directly.


The types of information we collect.

We may collect the following types of personal data about you:

Name.

Contact information including email address.

Details of your property and land ownership.

Records of communications and interactions we have had with you.

Any other information relevant to your project such as the existence of any hidden services, way-leave, easements or covenants which may impact on the design or later construction of the project.

Information necessary for us to provide planning advice, submit planning applications and appeals, deal with planning enforcement matters and other typical aspects of our administration and project co-ordination activities.

How we use personal data.

We need to collect and use data in this way to allow us to provide the services for which you appoint us.

More generally, we will use your personal data for the following purposes:

Administration of projects.

Completion of application forms on your behalf.

Issuing of invoices.

Contract administration.


Sharing information.

We will keep the information about you confidential and we will only disclose your information with other third parties with your consent with the exception of the following categories of third parties.

Personal data collected and processed by us may be shared with third parties directly involved in specific projects where necessary to allow us to fulfil our obligations under our appointment with our Clients.

Other consultants and suppliers involved in the project.  This may include but is not limited to Local Planning Authorities, private Building Control providers, Parish Councils, external consultants etc.

Anyone to whom we may transfer our rights and duties under any agreement we have with you.

Insurance companies, loss assessors, regulatory authorities and other fraud prevention agencies for the purposes of fraud prevention and to comply with any regulatory issues and disclosures.

Any legal or crime prevention agencies and/or to satisfy any regulatory request if we have a duty to do so or if the law allows us to do so.

In cases where you are providing us with information of other individuals related to the project it is your responsibility to gain their consent to do so.  A copy of this policy is available on request to pass to any related parties.

We will not share your information for marketing purposes with other companies.

How long do we keep hold of your information?

We retain your personal data only for as long as necessary for us to undertake our planning and architectural services.

We are also subject to regulatory requirements to retain data for specified minimum periods   This is typically:

Up to 6 years for all financial records

3 months to 10 years for details of each project.  

We do not hold data longer than is required, unless asked to by clients.

Potential clients and other short term contact information is held for a period of not less than two years to ensure that should you contact us again we have any relevant information to hand.


How we use cookies.

A cookie is a small file stored on your browser, for example Internet Explorer.  Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Simon Harvey Designs uses all reasonable precautions to keep the information disclosed to us secure. The majority of data collected is stored on password protected devices for security purposes. Furthermore, we are not responsible for any breach of security or for any actions of any third parties that receive the information.

Social Media and Website

We automatically reserve the right to use photographs and anonymous project details on Facebook, Instagram, Twitter and www.simonharveydesigns.com  If you do not wish your project to be featured,  you will need to opt out by contacting us using the details at the end of this document. 

Your Rights

You have a right to request a copy of the information that we hold about you.  If you would like a copy of some or all of your personal information please email or write to us using the contact details at the end of this document.

We have an obligation to ensure that your personal data is accurate and up to date.  Please ask us to correct or remove any information that you think is incorrect.

Policy Changes

This Privacy Policy is regularly reviewed. This is to make sure that we continue to meet the highest standards and to protect your privacy. We reserve the right, at all times, to update, modify or amend this Policy. We suggest that you review this Privacy Policy from time to time to ensure you are aware of any changes we may have made, however, we will not significantly change how we use information you have already given to us without your prior agreement.
